A walkthrough should connect the facility, the way people use it, and the result the buyer expects. Use this checklist to gather the details that shape scope, cleaner-hours, schedule, price, responsibilities, and the first service plan.

Walk the site by area

Connect each room to a task and frequency.

"Clean the building" is not a useful scope. A clearer walkthrough identifies what is included, how often it is expected, and what condition or access could affect the work.

Entries and public areas

Glass, doors, mats, floor soil, salt, fingerprints, traffic peaks, waste points, stairs, elevators, and visible presentation.

Every-visit priorities, seasonal changes, floor method, and cleaning window.

Washrooms

Fixture count, partitions, mirrors, touchpoints, floors, buildup, traffic, odour concerns, dispensers, and stock storage.

Task frequency, disinfection expectation, consumable responsibility, and deep-detail rotation.

Kitchens and break rooms

Sinks, counters, tables, appliance exteriors, cabinet fronts, waste, floors, food debris, occupied items, and dishes.

Cleaning boundary, appliance interiors, dish handling, product restrictions, and approved add-ons.

Work and shared rooms

Cleared versus occupied desks, reachable dusting, furniture, touchpoints, confidential material, meeting use, and restricted equipment.

What may be moved or touched, rotating detail, privacy boundaries, and blocked-work procedure.

Floors and periodic work

Surface types, square footage, soil load, edges, stairs, carpet spots, finish condition, machines, water, power, and drying time.

Routine method versus separately approved carpet, floor-finish, or restorative work.

Bring to the walkthrough

Useful information, not a perfect package.

  • Existing task list, RFP, complaint notes, or service calendar
  • Floor plan or approximate cleanable area
  • Room, washroom, kitchen, and fixture counts
  • Current photos where condition varies by site or unit
  • Building access and security contact information without sharing active codes
  • Purchasing, invoicing, reporting, and decision requirements

Expect after the walkthrough

A written response that states its assumptions.

  • Included areas, tasks, and frequencies
  • Proposed schedule and cleaning window
  • Products, equipment, supplies, and consumables responsibilities
  • Base service, first-clean work, periodic items, and optional add-ons
  • Exclusions, changed-condition triggers, and access assumptions
  • Approval step, proposed launch path, and applicable terms

Before C&L visits the property.

Does every commercial cleaning quote require a walkthrough?

Not necessarily, but recurring, multi-area, managed, uncertain-condition, or specialized sites usually benefit from one. C&L can first review the request and decide whether details, photos, a call, or an onsite visit are appropriate.

Should every bidding company see the same areas?

Comparable access and information help providers price the same work. If one company sees rooms, conditions, or restrictions that another does not, the resulting monthly amounts may reflect different assumptions.

Should active alarm or lockbox codes be shared during the walkthrough?

No. Discuss the access method and responsible contacts, but exchange live credentials only through the approved secure handoff after service is authorized.

Is a walkthrough the same as booking the service?

No. It supports the review and proposal. Availability, scope, price, start date, and terms still need written confirmation and approval.
